Office & Payroll Coordinator – Stockholm (Parental Leave Cover)
We are currently looking for a highly organized and service-minded Office & Payroll Coordinator to join our team in central Stockholm. This is a key role within our HR function, combining office management, internal support, and responsibility for payroll administration in close collaboration with external payroll partners.
This is a parental leave cover (temporary position) starting as soon as possible and continuing until May 1, 2027, with the possibility of continued employment thereafter.
You’ll be responsible for creating a well-functioning and welcoming office environment at our Stockholm location (Kungsbron 21), and act as a key point of contact internally for office logistics, onboarding, and HR-related administration.
About the Role
This is a broad and hands-on position where you’ll support both day-to-day operations and recurring processes within HR and office services. You’ll ensure a smooth and professional office environment while also managing critical routines related to payroll and internal administration.
We’re looking for someone who is structured, trustworthy, and service-oriented, with strong attention to detail and a proactive mindset.
Key Responsibilities
Office Operations & Internal Support
Coordinate day-to-day office operations including mail, deliveries, and occasional front-desk tasks
Ensure shared spaces, kitchen areas and storage are well maintained
Coordinate internal activities such as breakfasts, meetings, and smaller events
Order office and kitchen supplies and manage vendor relationships (cleaning, security, catering, etc.)
Act as key point of contact for the property owner, building maintenance, and external suppliers
Support onboarding of new employees and assist with practical arrangements
Coordinate an upcoming office move from the group office in Solna to Kungsbron 21
Payroll & HR Administration
Own the end-to-end payroll process in close collaboration with external payroll providers
Currently responsible for payroll in Sweden and the UK, with additional countries expected as the company grows
Collect, review and submit payroll data including timesheets, vacation, absences, etc.
Ensure timely and accurate salary payments and reporting
Act as internal point of contact for payroll-related questions
Support general HR administration related to employment changes, onboarding, and documentation
General Administration
Handle the company’s general info inbox and direct inquiries appropriately
Maintain key cards, office access and related systems
Drive improvements in routines and internal administrative processes
Who We’re Looking For
We believe you have previous experience in a similar role, ideally combining office services with administrative or HR-related responsibilities. You are confident working independently, can prioritize effectively, and enjoy creating a positive and well-organized environment for others.
Experience in payroll processes is highly valued, but we also welcome candidates with a strong administrative background and a desire to grow in this area.
Requirements
Professional experience in office coordination, administration, reception, or HR
Comfortable working in Microsoft Office (Outlook, Excel, Word, Teams)
Fluent in Swedish and English, both spoken and written
Highly structured, detail-oriented and responsible
Service-minded with excellent communication and coordination skills
Experience with payroll administration is a strong advantage.

The recruitment process includes in-person interviews at our office, as well as an assessment covering personality and logical reasoning. Final candidates will undergo reference checks and background screening.
This is a fixed-term position to cover a parental leave, starting as soon as possible and continuing until May 1, 2027. There is a possibility of continued employment thereafter, depending on future business needs.
